Planar Design Studio respects your privacy. This page explains what information we collect when you contact us or book a discovery call, how we use it, and your rights under Canadian privacy law.

Who we are

Planar Design Studio is a millwork and cabinetry design studio operating in Calgary, Alberta, Canada. We are the data controller for any personal information collected through this website and our client communication channels.

What we collect

When you book a discovery call through Calendly, we receive your name, email address, and the project information you choose to share — typical fields include project type, location, budget range, and a description of what you want built.

When you email us directly, we receive whatever you send: your name, email, attachments (drawings, photos, Pinterest links), and the content of your message.

We do not currently run analytics, tracking pixels, or third-party advertising scripts on this website. The only data the site itself collects is the standard web server logs (IP address, user agent, page requested) which our hosting provider Vercel retains for security and performance monitoring.

How we use your information

We use the information you provide for one purpose: to discuss, scope, design, and deliver your millwork project. This includes responding to your initial inquiry, preparing a written scope and quote, communicating throughout the design process, sharing draft drawings and revisions, and coordinating final handoff to your cabinet shop.

If you become a client, we may also keep your project documentation on file for our own future reference and may show non-identifying portions of the work in our portfolio (see Section 8 — Drawing rights and portfolio use).

We do not sell, rent, or trade your personal information. We do not send marketing emails or newsletters.

Who we share it with

We use a small number of third-party service providers to operate this website and our practice. Each has its own privacy policy:

Calendly — scheduling and discovery call booking. Receives your name, email, and the answers to any booking-form questions. Their policy is at calendly.com/privacy.

Vercel — website hosting. Receives standard web server logs. Their policy is at vercel.com/legal/privacy-policy.

Email infrastructure — our info@planardesign.ca inbox is hosted with a third-party email provider. Any email you send us is processed and stored by that provider in accordance with their privacy policy. We are happy to disclose the current provider on request.

If we engage subcontractor drafters or specialists on your project, we may share project-specific information with them under confidentiality. We do not share client lists or contact details with subcontractors.

We do not share your information with cabinet shops, builders, or third parties without your explicit instruction.

How long we keep it

Discovery call records and unaccepted quotes — kept for 12 months in case you decide to proceed later, then deleted.

Active client project files — kept for the duration of the project plus seven years for accounting and warranty purposes.

Email correspondence — kept indefinitely in our Gmail inbox unless you request deletion.

You can request deletion of your data at any time (see Section 7 — Your rights).

How we protect it

Files and emails are stored with our email and cloud storage providers using two-factor authentication on our accounts.

Project drawings shared with clients are transmitted via password-protected links or direct email.

We do not store payment information ourselves — invoices and payment processing run through third-party processors that handle their own card-data security.

That said: no system is unbreakable. If a data breach occurs, we will notify affected individuals within a reasonable timeframe and report to the Office of the Privacy Commissioner of Canada as required by PIPEDA.

Your rights

Under Canadian privacy law (PIPEDA), you have the right to:

Access — request a copy of the personal information we hold about you.

Correction — ask us to fix any inaccurate or incomplete information.

Deletion — ask us to delete your personal information, subject to legal retention requirements (we must keep tax-related records for seven years, for example).

Withdrawal of consent — ask us to stop processing your data, recognising that this may end an ongoing project.

To exercise any of these rights, email info@planardesign.ca. We respond to verified requests within 30 days.

If you have a complaint about how we have handled your data, you can also contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Drawing rights and portfolio use

When you commission millwork drawings from us, you receive full usage rights to those drawings upon final payment — meaning you can have any cabinet shop build from them, store them, modify them, or share them with other contractors on your project.

Planar retains the right to display non-identifying portions of completed work in our own portfolio — for example, showing a kitchen elevation without disclosing the client name, exact address, or other identifying details.

If you prefer that we do not include your project in our portfolio at all, just tell us in writing (an email is fine). We will honour the request.

Drawings remain our intellectual property until final payment is received. Drawings shared during the design process for review purposes are not licensed for fabrication until invoiced and paid in full.

Cookies and tracking

This website does not currently use cookies for tracking, analytics, or advertising.

The Calendly booking widget embedded on our contact page may set its own cookies when you interact with it. See Calendly's privacy policy for details.

If we add web analytics in the future (such as Plausible or Fathom — both privacy-friendly, cookieless tools), we will update this policy and disclose any data collection in advance.

Changes to this policy

We update this policy when our practices change. The "Last updated" date at the top of this page reflects the most recent revision.

Material changes — anything that affects what we collect, how we use it, or who we share it with — will be communicated to active clients by email. Minor wording changes will not.
